The County of Dufferin is an upper tier municipality which sits on the fringe of the Greater Toronto Area, about 100 km northwest of Toronto. The UNESCO World Biosphere Reserve, the Niagara Escarpment and the world famous Bruce Trail, run through Dufferin offering spectacular vistas and hiking opportunities. Reporting to the Director of Health and Human Services the Health and Human Services Administrative Specialist is responsible for maintaining departmental records including the coordination and management of electronic and manual files. The position acts as the contact lead for physical operations at the Edelbrock Centre, for general correspondence for Provincial Ministries and provides confidential executive administrative support to the Director of Health and Human Services and the Managers.

What you’ll do

  • Provide comprehensive administrative support to the Director of Health and Human Services, Program Manager EYCC, Program Manager Housing, Program Manager Ontario Works, Manager of Community Support Services and the Administrator of Dufferin Oaks
  • Includes but not limited to, scheduling meetings, addressing client contacts, executive meeting support, correspondence
  • Responsible for maintaining appropriate stock of general office supplies, source out items based on corporate procurement policy
  • Log purchase order usage in SharePoint, acquire manager sign off, scanning documents for filing
  • Review and upload departmental Business Practices once approved by Managers
  • Identify opportunities for policy, business practices and process improvements for review by the Director
  • Track staff participation in committees both internal and external
  • Compile research and organization of special projects
  • Administer and assist in development of departmental programs, including executive support to DC MOVES and the Community Safety Well Being Integration Table
  • Contact lead for related Provincial ministries
  • Contact lead for County services located at Edelbrock
  • Facilitate Hub Tours including organizing meetings with the Director and with other municipalities/agencies
  • Manage contract database for Community Services contracts ensuring regular reviews are scheduled for Program Managers for all divisions.
  • Participate in ongoing training to ensure up to date working practices for compliance with municipal and provincial requirements
  • Other duties as assigned

What you’ll bring

  • Two (2) year diploma in business administration or equivalent
  • Minimum two (2) years demonstrated experience providing executive administrative support
  • Previous customer service experience required
  • Experience with data entry
  • Ability to communicate effectively, both orally and in writing to facilitate interaction with management, employees and representatives from upper levels of government, external agencies including the general public
  • Exceptional customer service skills with respect to providing accurate information to and communicating with, service providers, the general public and/or staff to address a variety of inquiries
  • Strong organizational, analytical, problem solving and multi-tasking skills with the ability to meet deadlines and assess priorities
  • Thorough working knowledge Microsoft 365 applications, database management, and office equipment.
  • Knowledge and understanding of supports required in servicing a vulnerable population
  • Valid Class G driver’s license and access to reliable transportation required
  • Must provide clear criminal reference check including vulnerable sector screening
  • Suitable work from home environment including reliable high speed internet
